Catering Cost & Pricing Clinic — share templates, calculators and real-world margins
Calling caterers, event planners and food entrepreneurs: how do you actually cost an event from first quote to final payout? Please post real-world, usable inputs — not high-level theory. Specifically share any of the following you can (anonymized is fine):
- Per-guest worksheets or line-item event checklists (food, labor, transport, equipment amortization, permits, insurance, cleanup, disposables, sales tax, gratuity). Paste key rows or screenshots of formulas/columns.
- Your markup or margin targets (e.g., target food cost %, target gross margin per event) and when you deviate from them.
- 2–3 sample quotes: one that was profitable (with actual numbers or %s) and one that failed — what went wrong.
- Labor scheduling formulas or rules-of-thumb (prep hours per guest, service staff per X guests, overtime rules). Show the formulas you use to calculate hours and cost per event.
- How you handle seasonal pricing, deposits, payment schedules, and cashflow timing for large events.
- Vendor discounts, typical supplier terms you rely on, and how you incorporate them into quotes.
- Equipment amortization approach (per-event allocation), insurance ranges you budget, and permit fees by type.
- Regional benchmarks you see (food cost % by menu type — plated vs buffet vs food-truck; average delivery miles and fees; typical insurance premiums).
When you share a spreadsheet or calculator, paste the key rows or formulas (e.g., =SUM(...), cost-per-guest calculations, labor-hour math) or attach a public sheet link and explain which cells to look at. Please note the region (city/state/country), event size (guests), menu type, and whether numbers are before/after tax and gratuity.
Short case studies are especially useful: “Before: X pricing method → After: Y change → Result: margin improved from A% to B% and bookings changed by C%.”
We’ll curate the most practical submissions into a community toolkit (templates, calculators, checklists). Please anonymize client names and sensitive contract terms before posting.
