Community Playbook: Real-world Catering Costs, Sample Quotes & Budgeting Tools
Goal: build a community-sourced playbook of real catering quotes so we can produce realistic per-guest ranges, sample quotes, and negotiation checklists by region and event type. Please share what you actually paid using the template below — one entry per comment. We’ll anonymize entries unless you opt in to vendor credit.
Please include exactly these fields where possible:
- Event type (wedding / corporate / private / fundraiser / other)
- City / region (or ZIP)
- Date (year)
- Guest count (expected vs attended)
- Service style (plated / buffet / family-style / stations / cocktail)
- Menu summary (short list or style: e.g., 3-course seasonal, BBQ, passed hors d’oeuvres)
- Drinks (included? open bar / limited bar / cash bar / non-alcoholic only; what the package covered)
- Quoted price (per person or total; say whether tax/service/gratuity were included)
- All surprise fees or add-ons you were charged (list fee type and amount: e.g., service charge, cake-cutting $X, corkage $X, rentals $X, overtime $X, delivery $X, sales tax %)
- Final total actually paid
- Vendor type (independent caterer / venue in-house / restaurant / food truck / banquet hall)
- One-sentence: what you wish you’d negotiated or one practical tip for others
Optional: attach anonymized menu/contract excerpts or a link (please remove personal info). Please state explicitly if we may anonymize and publish your entry (Yes/No).
